General Policies
To help us provide the best possible care of every patient, please review the following policies before your appointment.

Payment for veterinary services provided to your horses must be made at the time of service. Northeast Equine Veterinary Dental Services LLC accepts cash, single-party checks, VISA, Mastercard and American Express. We do not accept post-dated checks nor do we hold checks for deposit. Returned checks will be subject to a $35 fee and alternate payment method must be arranged.
We recommend that a current credit card be placed on file with our office. Your credit card will not be charged if an alternative accepted method of payment is provided at the time of service. If payment is not made at the visit your credit card will be charged within 3 days of services rendered. Insurance claim payments for a major medical claim will be sent to you directly from your insurance company. If payment is not received in full at the time of service, a late fee of 1.5% per month or 18% annually will be applied to all accounts more than 30 days past due. If you have an unpaid balance on your account over 60 days, no further services will be provided until your account is paid in full. If payment is not made or if your credit card is declined and the matter is placed with an attorney for collection you will be responsible for all costs of collection including court fees, attorney fees, and interest on the unpaid balance from the date of services.

We want communication between our team, our clients, and referring veterinarians to be clear and straightforward. This helps us provide the best care possible for each horse.
For questions, appointment requests, scheduling, or other non-urgent matters, please contact us by phone or email during our regular business hours. We will do our best to respond as soon as possible.
Please keep in mind that an appointment is not confirmed until it has been scheduled with our office.
Messages received outside of regular business hours will be returned during the next business day. Response times may vary depending on our appointment schedule and the nature of the request.
Northeast Equine Veterinary Dental Services does not provide emergency or 24-hour veterinary care. If your horse is experiencing an emergency or needs immediate veterinary attention, please contact your primary veterinarian or an appropriate emergency veterinary service.
We value the relationship we have with our referring veterinarians and believe in keeping them informed throughout the referral process. When appropriate, we will share relevant findings, treatment recommendations, and follow-up information with the referring veterinarian.
We ask that clients and visitors treat our team with the same professionalism and respect that we extend to them. We understand that caring for a horse can sometimes be stressful, and we are always happy to answer questions or discuss concerns.

We want every visit to be a safe and respectful experience for our clients, patients, and team. Because we work closely with horses, creating a safe environment is especially important.
We ask that clients and visitors communicate respectfully with our veterinarians and staff. Harassment, verbal abuse, threats, or discriminatory behavior are not acceptable.
Everyone present during an appointment is expected to follow the instructions of our veterinary team. Please let us know about any known behavioral concerns or safety issues involving your horse before treatment begins.
If our team feels that a situation is unsafe for the horse, the client, or our staff, we may pause or stop treatment until the situation can be made safe.
Clients are responsible for providing a safe and appropriate environment for our team to work. This includes providing reasonable access to the horse and following any safety instructions given by our team.
We understand that veterinary care can sometimes be stressful. We are always happy to answer questions and discuss concerns, but we ask that everyone remain respectful throughout the appointment.
If a situation becomes unsafe or inappropriate, we may need to end the appointment or discuss whether future services can be provided.

We use texting (SMS), email, AI, and cloud based medical software to help run our business.

Northeast Equine Veterinary Dental Services, LLC uses a texting service to communicate with clients. Message and data rates may apply. Message frequency varies. At any time you can text HELP for help or STOP to opt out. SMS data will not be shared with anyone except our texting service provider. Northeast Equine Veterinary Dental Services, LLC may disclose Personal Data and other information as follows:
Third Parties that Help Provide the Messaging Service: We will not share your opt-in to an SMS short code campaign with a third party for purposes unrelated to supporting you in connection with that campaign. We may share your Personal Data with third parties that help us provide the messaging service, including, but not limited to, platform providers, phone companies, and other vendors who assist us in the delivery of text messages.
Additional Disclosures: Affiliates: We may disclose the Personal Data to our affiliates or subsidiaries; however, if we do so, their use and disclosure of your Personal Data will be subject to this Policy. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
